Essential QuickBooks® Tasks for Year-End 2025

As autumn ushers in the close of 2025, it’s crucial for small businesses and accountants to diligently close the books, ensuring a seamless transition into 2026. Navigating through evolving tax laws and leveraging the latest QuickBooks® Online (QBO) advancements can optimize your year-end preparations. Here are the critical tasks to address before the December 31 deadline to enable a streamlined tax season.

1. Reconcile Bank and Credit Card Accounts

Avoid operational disruptions by aligning every account with its corresponding statement. Access Settings > Chart of Accounts > Reconcile, verify closing balances, and resolve any issues in Undeposited Funds or Uncategorized accounts. Utilize QBO’s features to identify unreconciled items promptly.Image 1

2. Analyze Customer and Vendor Balances

Ensure financial accuracy by running the Accounts Receivable Aging and Accounts Payable Aging reports. Dispatch statements to customers with overdue payments and consider writing off uncollectible debts judiciously. Review vendor balances to catch missed entries and discrepancies.

3. Complete Year-End Reporting

Produce comprehensive Profit & Loss, Balance Sheet, and Trial Balance reports for the entire fiscal year. Scrutinize these documents for any irregularities, such as negative balances, using class or location filters to identify unusual variances.Image 2

4. Organize 1099 and Contractor Documentation

Ensure all contractors are correctly designated for 1099-NEC or 1099-MISC documentation. Navigate to Expenses → Vendors → Prepare 1099s in QBO to validate addresses, W-9s, and recorded payments, as incomplete information may result in IRS issues come January.

5. Execute Final Adjustments and Books Closure

Perform year-end adjustments including depreciation, bad debt write-offs, and equity transfers. Verify fiscal year settings under Settings → Advanced to confirm correct period closure. Upon completion, “close your books” to prevent post-fiscal amendments.

6. Update Payroll and Employee Data

This step is vital, particularly for users of QuickBooks® Online Payroll. Before year-end, execute final payroll, confirm benefits, verify employee details, and review W-2 forms.Image 3

  • Run your final payroll including bonuses

  • Verify benefits and retirement contributions

  • Update employee information

  • Pre-verify W-2 forms

7. Implement New QuickBooks® Automations

In 2025, QuickBooks® introduced valuable enhancements in automation and categorization. Enable these advancements now, especially if utilizing QuickBooks® Online Accountant for client management.

Consider a proactive approach: leverage QBO’s cash-flow forecasting tools or conduct a “budget vs. actual” analysis to prepare for 2026's financial landscape. Planning now can prevent future fiscal challenges. By resolving account discrepancies, validating financial statements, and utilizing QuickBooks®'s cutting-edge features, businesses can ease into the upcoming year with confidence.
